Information for Presenters
Instructions for giving your oral presentation
Presenters in all sessions are required to use digital projection of a PowerPoint for Microsoft 365 (or earlier version) presentation. Projectors and screens with a 16:9 aspect ratio will be used. Please remember to create or adapt your presentations using 16:9 aspect ratio.
- Before the conference, upload your PowerPoint file using the dedicated link: https://forms.gle/MkK1gqXiXVsgcLyo9
- Arrive at least 10 minutes prior to the beginning of your session and introduce yourself to the chairpersons.
- The electronic projection equipment provided in each room will include a laptop equipped with Windows 10/11 and PowerPoint for Microsoft 365. Please bring a backup of your PowerPoint presentation to the meeting on a USB memory device. It is highly recommended if you are a Macintosh user to test your presentation on a PC to verify it converts to WINDOWS format accurately. There will NOT be any MAC equipment available.
- No scheduling change can be made. You have been allotted a total of 15 minutes, including time for discussion for your presentation. The chairpersons have been instructed to require all speakers to adhere to this limit: 10-12 minutes maximum for the presentation, and 3-5 minutes for discussion.
- Should circumstances prevent you from making your presentation, you must arrange for a substitute to present your paper and you must notify us (sustainability@dtu.dk and the chair for your session).
Instructions for giving your poster presentation
Presenters in poster sessions are required to prepare and bring their own printed poster to the conference. Posters will be displayed in designated areas throughout the conference.
We have scheduled two dedicated poster sessions, during which all presenters are expected to stand by their poster and engage with participants:
- September 30th, 17:15 – 18:15
- October 1st, 16:00 – 18:00
Printing and bringing your poster
You are responsible for printing and bringing your poster to the conference. The recommended format is A0 (841mm x 1189mm) in portrait orientation. Posters larger than A0 cannot be accommodated.
Poster setup
Posters should be mounted on the boards provided in the poster area. Each board will be clearly numbered according to the conference program. Mounting materials (e.g. pins, tape) will be provided on site.
You can place your poster at the dedicated poster area when you arrive at the conference. Posters should be in place no later than 2 hours before the first poster session (September 30th 17:15)
During poster sessions
Please stand by your poster during the assigned sessions to present your work and engage with participants. You are encouraged to prepare a short 2-3 minute overview of your poster to help guide discussion with viewers.
Poster removal
We encourage you to keep posters up during the entirety of the conference. You are welcome to take down your poster during the last day of the conference (October 2nd).
Posters left behind cannot be stored or returned.
Content and design recommendations
Keep text concise and use visuals (figures, graphs, images) to support your main points.
Ensure that all text is readable from a distance of at least 1 meter (recommended minimum font size: 24 pt).
Clearly state your title, authors, and affiliations at the top of the poster.
If you cannot attend
Should circumstances prevent you from presenting your poster, you must arrange for a substitute presenter and notify us at sustianability@dtu.dk
